Booking a Caterer: What Should You Be Asking?
So, you’re engaged and planning your big day! Once you’ve got your venue booked, the next big supplier to take care of is your caterer. Food is a HUGE part of the day and it’s super important to get it right so what should you be asking potential caterers before you choose the one for your wedding? At Pantry Events, we always try to get our couples in for an initial meeting prior to booking so we can get a proper idea of what they are looking for. The most common question we get asked at these meetings is ‘Should we be asking anything else? This is our first time doing this’. Well, look no further than this blog - here are the most important five questions you should be asking your caterer!
What do your prices include?
This is so so important to ask! Some caterers will quote you for the food only and then staffing, kitchen equipment and costs like VAT as an add-on. For DIY venues where there may not be an existing kitchen, ovens, fridges and tables could be an expensive addition to the final invoice and VAT on a wedding bill isn’t £20 so this is definitely something that should be established from the get go!
What’s do you do on the day?
Caterers will usually turn up a bit before the ceremony to set the tables and get everything ready for the reception. Some caterers will be there to set up the physical table with linen and centrepieces whilst others will set the crockery, cutlery and glassware. It’s good to know what you’ll need to do prior to the day!
How do you deal with dietaries?
We’re yet to have a wedding where there haven’t been any dietaries! It’s all part of the fun that comes with being a wedding caterer! The one thing we always always say is to avoid trying to work your menu around dietaries - your wedding day should be completely about you and that includes the food! Let us know what dietaries you have and we’ll sort them out on the day without making them feel like an afterthought.
What other services do you offer?
Some caterers come as a stand alone caterer and will only deal with the food and drinks up to the end of the meal. Weddings can grow arms and legs with suppliers so why not try and streamline as many aspects as you can through one supplier? We offer a bar service, co-ordination and even a styling service. Choosing one supplier who can do a variety of things may save you on costs as well as time spent communicating with a million different companies!
What can you do for kids and other suppliers?
Most caterers will offer more ‘kid friendly’ meals such as macaroni cheese, fish goujons and sausage and mash so that the kids definitely get something substantial that they’ll eat! It means that their parents can relax knowing that the kids aren’t hungry! These, along with supplier meals, can usually be done for a smaller cost as it isn’t the main menu.
These questions should give you a pretty good idea of what your potential caterer can offer for your wedding and what they can do other than food! Obviously you’ll have loads of other questions about drinks and menus but these five are a good starting point!
